Venetian Expo rules exhibitors miss

Leer en español

The Venetian Expo's Exhibitor Success Guide runs 36 pages. These are the rules that cost exhibitors money or time, straight from the February 2026 edition. Your show can add stricter rules, so read your exhibitor manual too.

What to know

Order 21 days out, with payment and drawings

Orders placed no later than 21 calendar days before opening day get the early bird rate, but only if full payment and completed CAD drawings arrive by then too (rigging is excluded). Later orders pay the standard rate, and orders in the last 24 hours before opening pay the show-site rate.

Cancelling utilities and cleaning

Electrical, internet, plumbing, telecom and cleaning orders are fully refundable if cancelled 8 or more days before the published move-in date. Within 7 days you pay 50%, and from the first move-in day on there's no refund. Nothing is credited for services ordered but not used.

Cancelling AV and rigging with Encore

Encore orders cancelled more than 30 days out carry no fee beyond out-of-pocket costs. From 30 to 15 days you pay 50%, from 14 to 3 days 75%, and within 3 days (72 hours) 100%.

Cancel catering at least 21 days before opening to avoid a fee. Between 21 days and 10 business days you get 50% back, between 10 and 3 business days 25%, and under 3 business days nothing.

No outside food, drink or appliances

No outside food or drink comes in, including logoed bottled water and samples. Personal water coolers, single-cup coffee makers and rice cookers are prohibited and bring corkage fees or removal; they can also blow your booth's fuses.

Wall and column outlets are off limits

Wall, column and permanent building outlets aren't part of your booth space, and exhibitors and their contractors can't use them.

Keep the fridge running overnight

The Expo recommends ordering 24-hour power for computers, refrigerators and appliances that run throughout the show.

Leaving your booth behind

Bulk trash removal must be pre-ordered from Show Cleaning. To throw away your booth at the show, you must order dismantling labor from the general contractor and pay a pre-ordered dumpster fee; crates and materials left on the floor are your responsibility.

Vendor parking

Authorized vendors working the show park free on levels 10, 11 or 12 of The Venetian guest garage and get their ticket validated. Park in The Palazzo garage and you pay normal daily rates.

No curbside unloading

Curbside loading and unloading are prohibited. Limited oversized vehicle parking is on the first level of The Venetian garage.

No hoverboards or skateboards

Hoverboards, Segways, bikes, skateboards and rollerblades are forbidden unless used under ADA guidelines.

Exhibit hall restrooms close about 30 minutes after the show ends. The mezzanine restrooms, reached by the Bistro stairwells, stay open from move-in through move-out.

Fuel in displayed vehicles: one-eighth tank

Gas and hybrid vehicles on display at the Venetian Expo can hold no more than 1/8 of a tank, with batteries disconnected, gas caps locked, propane tanks removed, keys handed to security, Visqueen underneath and an individual Fire Marshal permit.

ConfirmedVenetian Expo: The Exhibitor Success Guide (February 2026)Checked Nov 6, 2026

Electric vehicles: under half charge

Battery-powered vehicles must have the battery disconnected (or facility approval if it can't be) and charged under 50%, can't be charged in the building, need an ABC extinguisher, a 20-foot clearance and an overnight fire watch, and can't sit near load-bearing columns or walls.

Raffles and mock gaming need casino approval

Because the Venetian is a licensed casino, any mock gaming, game of chance or prize awarded by chance (including a booth drawing) needs approval from its Compliance Department, started at least 30 days before the event with an Events Checklist.

Big covered booths need sprinklers

Any covered or multi-story display of 1,000 sq. ft. or more needs sprinklers, unless the event runs fewer than seven show days and you meet the alternatives: noncombustible construction, an extinguisher in reach of every room, at most two levels, a booth fire watch outside show hours and 20 feet of separation.

CBD: display maybe, sell never

Packaging and marketing for hemp-derived CBD may be displayed with management approval under set conditions, but sampling or selling CBD products of any kind is strictly prohibited.

Boxes at the hotel FedEx stay there

You can ship materials to The Venetian FedEx Office, but resort and Expo staff won't carry them over to the Venetian Expo. Moving them is up to you.

ConfirmedVenetian Expo: The Exhibitor Success Guide (February 2026)Checked Nov 6, 2026

Crates sent direct can bounce

Crated freight shipped straight to the building is redirected to the general contractor's dock if the contractor is on site; if not, the facility rejects it and sends it back. Uncrated shipments may go only directly to show site, addressed to the general contractor.

ConfirmedVenetian Expo: The Exhibitor Success Guide (February 2026)Checked Nov 6, 2026

Unlabeled crates may be destroyed

Crates and boxes can't be stored in your booth or meeting room during the show. Put an Empty label on each one so it is stored and returned; crates and cartons not properly marked may be destroyed.

ConfirmedVenetian Expo: The Exhibitor Success Guide (February 2026)Checked Nov 6, 2026

No boxes on escalators

When hand-carrying, use a two-wheel luggage cart at most, stay out of the loading dock and freight doors, and move boxes between floors by elevator only; escalators are strictly off limits for freight.
