Privacy notice
Effective October 30, 2026. Plain language: what we collect, why, and who sees it.
What we collect
- What you type into forms: quote, staffing, entertainment and pickup requests, vendor applications, corrections and scam reports. That includes your name, company, email, phone and the details of your request.
- Your email address when you sign in. Sign-in is by an emailed link, so we don't store passwords.
- What you save in your account: event plans, guest lists and RSVPs, booth lead forms and the leads they collect, request board posts and quotes, exhibitor information pages, gig board posts and applications, your network and talent profiles, community posts, and marketplace listings.
- Teammates' email addresses when you add colleagues to a plan, booth team or door staff. They see what you share with them once they sign in with that address.
- Vendor business details and documents that vendors upload for review, such as insurance certificates and licenses.
- Payment records for vendor invoices paid through the site: amount, status and the customer's name and email. Card details go straight to Stripe; we never see them.
- Questions you ask the planning assistant. They're sent to Anthropic to generate the answer. We don't keep them with your account.
- Basic technical data our host logs to run and protect the site, such as IP address and browser type. We use it to stop abuse, for example by limiting how often one connection can submit a form, and we count views of vendor pages without storing who viewed them.
- Visit counts. Vercel Web Analytics counts page views and a few actions, such as a form sent or a vendor website clicked, without cookies and without identifying you. We use the totals to see what's useful and to show sponsors real demand.
What we don't do
- We don't sell personal information.
- We don't run advertising trackers or let other companies track you across sites through ours.
- We don't send your quote request to any vendor unless you tick the box that allows it.
Who sees it
- People you choose to share with: vendors you send a request or accept a quote from, employers you apply to, members you message on the network, and the host of an event you RSVP to. Booth visitors' details go only to the company whose form they used.
- Other visitors, for things you publish: public profiles, community posts, open request board posts (without your name or email), marketplace listings, and vendor pages and reviews (reviewers' emails stay private).
- Companies that run parts of the site for us: Vercel (hosting), Supabase (database, sign-in and file storage), Stripe (payments), Resend (email), Anthropic (the planning assistant) and our customer relationship system, which receives form submissions so we can reply. They handle the data only to provide their service.
- Vegas TV Rentals is owned by Las Vegas Convention Guide. It receives a quote request only when you tick it.
- Authorities, when the law requires it.
Emails
We send email you ask for or that your activity triggers: sign-in links, invitations a host sends, reminders you turn on, show alerts and the monthly show calendar you confirm, and notices about your requests, quotes, applications and replies. If a vendor invoices you through the site, you may get the invoice by email at the vendor's request, and after paying, one request to rate the vendor at the email you gave Stripe. Apart from sign-in links and the one-time confirmation for show alerts, every email has a link to stop all email from us.
Seeing, changing or deleting your information
You can edit or delete most of what you save from the page where you made it, and delete your whole account fromyour account page. For anything else, including a copy of what we hold, contact us at our contact form. We'll reply within 30 days.
Nevada residents: we don't sell covered information, but you can still send us a request to opt out of any future sale at the same address.
Changes
If we change this notice, we'll update the effective date at the top of this page, and email account holders about any change that affects how we share their information.
